To add an account, click + Account, fill in the account details, and click Save.
To save and open the account page, click Save & Edit details. To create more accounts, click Save & Add a copy.
Account type
Select the type of account by switching between two options:
- Debit – the account has its own balance, and services are used only if funds are available.
- Credit – services are used first, and the charges are invoiced later.
Account role
The account role defines the intended use of the account, whether it is a phone line, a top-up voucher, or an IPv4 address of an IP PBX.
PortaBilling suggests the most suitable account role, depending on the customer's business model. You can select another role from the list:
- Universal – you can use these accounts for any purpose. For an account ID you can select a valid phone number, email address, IP address, MAC address, etc. This account role is used with each business model.
Avoid using the Universal account role for converged services, since different services often require different account ID formats and cannot share the same Universal account. For instance, if you provide both mobile and SIP services, assign specific account roles instead (follow the account setup recommendations in the following chapter).
- Phone line is intended for making and receiving calls. You can only select a valid phone number as an account ID (a DID number). This account role is used with Cloud PBX, SIP Trunking, Residential VoIP and Universal business models.
- Auto attendant is intended for use with auto attendant. Auto attendant functionality is enabled by default. You can only select a valid phone number as an account ID (a DID number). This account role is used with Cloud PBX and Residential VoIP business models.
- PINless is intended for PINless dialing service. You can only select a valid phone number as an account ID (a DID number). This account role is used with PINless and Prepaid card holder business models.
- IPv4 address – this account role is associated with a customer’s SIP proxy or gateway IP. This account role is used with SIP trunking business model.
- User@domain is intended for accessing the Internet. This account role is used with an Internet access business model.
- Mobile is intended for mobile service provisioning. You can only select a valid phone number as an account ID (a DID number). This account role is used with the Mobile business model.
Account ID
An account ID is the primary identification of the user in PortaBilling. Type an account ID here. Use an alphanumeric string for an account ID, maximum 64 characters. Note that the account ID format depends on the account role.
Extension number
You can specify the extension number for the account.
Service password
Together with the account ID, this password will be used to authenticate registrations and call attempts from this account on the SIP server. It is very important to assign a secure (difficult to guess) password to prevent fraudulent activities with this account.
You can set the minimum password length for credit accounts via the CreditAccMinServicePasswdLength option on the Configuration server web interface (by default, the minimum length is 6 characters).
Click Generate password to generate a secure password. To show or hide the password, click Show password
or Hide password
.
Balance control
This option is available for credit accounts. Select one of the balance control types:
- Subordinate (default) – the account uses the customer’s balance and credit limit.
- Individual credit limit – the account has its own balance and credit limit. When the balance reaches the limit, services are no longer available for this account. The customer’s balance also affects service availability.
Credit limit
This option appears if you select the Individual credit limit balance control type. Specify the credit limit for this account.
Opening balance
This option is only available for debit accounts. Specify the initial amount of available funds on an account.
Requires manual activation
This option is only available for debit accounts. Select this checkbox to create the account as inactive, so it cannot be used until it is manually activated. This helps prevent any misuse of services.
Activation
Specify when this account becomes usable:
- Immediately (default)
- At a specific date – the account becomes usable according to the customer’s billing time zone. For example, if your time zone is Sydney and you create an account for a customer in New York and set the activation date as today, the account will become usable only when that date begins in New York.
Expiration date
Specify when this account expires:
- Never (default)
- At a specific date – the account expires according to the customer’s billing time zone. For example, if your time zone is Sydney and you create an account for a customer in New York and set the expiration date as 2026-01-01, the account will expire only when that date begins in New York.
Contact
Define personal information about the account such as name, email address, and contact (the person whom to contact instead of or in addition to the account owner).
By default, PortaBilling automatically adds the account’s first name in the Contact field.
BCC
This stands for blind carbon copy. Here you can define the emails of one or more recipients, separated by commas, without revealing their information (e.g., to send a copy of every account email to your accountant, specify the accountant’s email address here).
Address
Specify the account’s address, postal code, etc.
Phone
Specify the main phone number. The phone number specified in this field is used to find a recipient on the account self-care while transferring funds and services among users; see more details in the
Alt. phone
Specify the phone number to which SMS notifications should be sent.
Alt. contact
You can specify another person’s phone number to contact if the primary contact is unreachable.
Batch
Select a batch that the account belongs to ( None means that the account does not belong to any batch). To create a new batch, select Add new.
Customer site
A customer site defines a group of accounts managed as a single entity. You can select a specific customer site so that the site parameters (e.g., number of simultaneous calls) will apply to the account. To add a customer site, click Add new.

Auto-provisioning
To assign a device or SIM card to an account for auto-provisioning, turn on the toggle and select the corresponding option:
CPE
Device model
This is the hardware model of the device, e.g., Yealink SIP-T21P E2. Select the model from the dropdown list.
Device ID
The device ID serves as a unique device name. Type the device ID or select it from the dropdown list.
You can only select a device that is assigned to this customer or is not yet assigned to any customer.
Line
Select a specific line on a device.
Owned by customer
Select the checkbox if you want to mark the device as “ owned by customer ” – for example, if the customer has purchased this device.
You cannot release a CPE device from an exported account.
SIM card
IMSI
Choose a SIM card by its IMSI (International Mobile Subscriber Identity). Type an IMSI fully or partially, or select it from the dropdown list.
ICCID
This is the SIM card’s unique serial number that corresponds to the selected IMSI.
Description
This is the short description that corresponds to the selected SIM card.
Product
Select the main product this account will use. Once you select a product, you can click
Show
to open the product page.
Charging period
Select the charging period to apply a specific multi-month prepaid plan, e.g., for 6 months of use. This field is only available if the list of prepaid plans is configured in the in-advance subscription assigned to the product. At the moment of account creation, you can select the charging period both for a main and add-on products with the in-advance subscription assigned.
Add-on products
Click + Product to assign one or more add-on products that can be used together with the selected main product.
For each add-on product, the following information is displayed:
Actions
Name
The name of the add-on product.
Period when active
This shows the period during which the add-on product is active for the account.
Login
Specify the account self-care interface login.
After you define the login and password, you can log into the self-care portal on behalf of the account. Click
Link
to log in.
Password
This is the account self-care interface password. Define it manually or click
Generate password to generate a random, hard-to-guess password.
To show or hide the password, click
Show password or Hide password

Role
The access role assigned to this account. It contains a set of permissions to access self-care components: tabs, features, etc. Each account is created with a default role. After you create the new role on the Roles panel, select a new role for the account from the list here.
Time zone
Set the time zone in which to display the date and time values on the account self-care interface.
Web interface language
Choose a desired language for the account self-care interface.
Output format
Choose an output date and time format for the account self-care interface.
Input format
Choose an input date and time format for the account self-care interface.
